Office Relocation Checklist
Moving office is a full time project in itself and it needs to be wisely planned if you want to have everything relocated over the shortest possible time and with minimum interruptions in your day to day activity.
Like all projects, office relocation could benefit from a checklist to follow step by step. We have created a Office Relocation Checklist to help get you started. - Get a PODS quote online or call 1800 467 637 to talk with our Customer Care team.
- Have one of your employees be in charge with planning and supervising the move.
- Consider whether you want to leave behind or dispose of redundant computers and business equipment. It will save time and money on moving day if you don’t need to move it; and you may be able to sell some equipment.
- Make a list of all your stationery items, printed and electronic, that will need to be updated with your new address. Arrange printing and updating of your stationery to have them ready by the time you get to the new office location.
- Notify all clients and customers, suppliers and other business partners to let them know you are moving. Include your new contact details and moving date so they know when you will no longer be available at your old location anymore.
- Confirm the layout of the new premises, the places where each item of furniture is going to be moved and the arrangement of the staff. Each member of your team should know exactly where they are going to move, so their items can be placed in the correct locations within your new office or shop location.
- Decide on a box labeling methodology and have your whole staff follow it, in order to ease the unpacking. There are some suggestions below about how you can manage that.

Planning Your Office Relocation Move
- Review the floorplan of your new office location
- Assign a numbering system to office/desk areas within the floorplan, and advise staff responsible for these areas of their number/s. They can then use this number when labeling boxes and furniture.
- Allocate staff to common space areas (for example lunch room, foyer)
- Coordinate with your IT team to ensure all data and telephone requirements are met in the new office location
- If you don’t have your own dedicated IT team you may need to start liaising with your internet, phone and computer suppliers and enlist their help with your office move.
- Determine if you need special access permission for your new premises. Do you need special street or car parking access?
- Advise local businesses of you moving day, in the event that your move may impact their business operations.
Packing, Ready for Your Move
- Ensure all boxes, computer equipment, furniture and office items are labeled with their assigned number/s.
- Empty file cabinets and tape or lock drawers closed. Small cabinets may not need to be emptied. Check with the Customer Care team for advise on this, depending on the volume of items to be moved.
- Tape desk drawers and cupboard doors closed to make them easier to handle when being moved.
- Wrap computer cables, power cords and phone leads either around the items the connect to, or together in plastic bags, clearly labeled with the appropriate office location number.
During your move
- Ensure all boxes, computer equipment, furniture and office items are labeled with their assigned number/s.
